On June 3, we are upgrading our benefits administration system and technology solutions. This upgrade will allow us to continue to provide best-in-class service including an improved customer experience and enhanced data protection. As part of this upgrade, your online employer portal account is getting an upgrade, including a new look, enhanced functionality and better user experience!


Update: Delta Dental of Illinois System Upgrade, Temporary Claim Holds & Portal Limitations

To ensure data integrity as we upgrade our system, the employer portal is read-only beginning May 18 through June 2. You cannot register, make eligibility updates online or update your password. Once the new employer portal is live on June 3, group administrators can register and registered super users will again be able to make eligibility updates. Please note, active super user accounts are only being migrated as part of our system upgrade, and they will receive a username, which is their email, and temporary password once our new portal launches on June 3. Enrollment and eligibility changes submitted on or after May 20 will not be processed until the new system is live on June 3. Starting June 3, eligibility requests and any associated ID cards will be processed in the order received.


Claims Processing Update & Payments

Claims received on or after May 9 will be temporarily held and will be released for processing once the new system is live on June 3. This temporary hold is necessary to ensure data integrity and a smooth system upgrade. Claim processing times may continue to be longer than usual during June as we work through claims received during this transition. We appreciate your patience as we make these improvements.

As a result of this pause, ASC groups that pay weekly may notice higher claim payment amounts for a period of time following the upgrade on June 3. This is expected and temporary. Weekly payments for ASC groups will continue after the upgrade, but payment amounts may be higher initially as we process claims received during the transition. Payment amounts will return to normal once all transition‑period claims are fully processed.


Super User (Group Administrator) Accounts

Active super user accounts are only being migrated as part of our system upgrade. Super users are the designated main group contact and are responsible for setting up accounts with specific permissions for designated team members. The super user for the account (group administrator) will receive a new username (which is their email address) and need to create a new password when the new employer portal launches on June 3.

By June 3, those who have super user accounts will receive an automated email with their username and a temporary password, which must be changed within 7 days. If a super user does not reset their password within 7 days, they will need to contact our enrollment team at 800-752-7971 so they can reset the password.

Delta Dental of Illinois Upgrade FAQs for Groups

  • When is Delta Dental of Illinois' system upgrade occurring?

    ⁠We are updating our benefits administration system on June 3. Additional communications, resources and assistance will be provided to you and your employees/members to help prepare for the upgrade. Our team is working diligently to make sure this is a seamless experience for our customers.

  • What is changing?

    ⁠Many of our changes will be behind the scenes affecting our administrative processes, but you will notice a number of changes including:

    • A new look, enhanced functionality and better user experience on your online employer portal account. 
    • Changes to the look and format of bills and other correspondence materials available in the employer portal or from Delta Dental of Illinois.
    • Changes to the structure of your group account number. Learn more>
    • New portal URL – make sure you update your bookmarks!
    • Existing active employer portal super users will receive new usernames and passwords. If you don't have an active employer portal account(meaning you haven't accessed your account in the past 12 months), you will need to re-register for the employer portal, if you are a group administrator, after the upgrade.
  • Will my group number and account structure change?

    Yes. Following the upgrade, your group number (also referred to as the top account number) will have 11 digits and will begin with six zeros, e.g. 00000012345. How we structure your account is also changing so you may see some other new account numbers on your documents, or in the portal, called sub accounts and sub sub accounts. Learn more about how the updated account structure will work.

  • Can I use the same username and password for the new employer portal?

    Super user accounts are only being migrated as part of our system upgrade. Super users are the designated main group contact and are responsible for setting up accounts with specific permissions for designated team members.

    The super user for the account (group administrator) will receive a new username and need to create a new password when the new employer portal launches on June 3. Once the portal is live, those who have super user accounts will receive an automated email with their username and a temporary password, which must be changed within 7 days. Your username will migrate to the new system as your email address. We’ll send reminders before and after the launch to help ensure a smooth transition.

    Please note: If you are a super user and have not logged in to the Delta Dental of Illinois Employer Portal since June 2025, your account will not be migrated. In that case, you’ll need to re‑register to access the new employer portal starting June 3. 

    ​​This change will not impact how your employees/members login to the Delta Dental of Illinois member portal.

  • If I am a super user, will I have to set up and provide access to my designated users?

    Yes. To protect your group’s data and information security, after the system upgrade, you will need to set up any designated users for your group as no other user accounts will be transferred. 

  • If I set up a broker or consultant partner with access previously on my employer account, will they still be able to access the portal?

    No. Any broker or consultant partner previously set up on your employer account will now have access through the broker portal. Brokers will request access and set up their own accounts. If you have set up the broker of record for your group account in the employer portal, please let your account manager or small group account management team know so we can ensure brokers set up their accounts correctly. 
     

  • What is changing for your employees/members?

    Many of our changes will be behind the scenes affecting our administrative processes, but your employees/members will notice a number of changes including:

    • A new look and enhanced functionality on their member portal account. Please note: this change will not impact how your employees login to the member portal.
    • New portal URL – make sure your employees/members update their bookmarks!
    • An updated member ID number for your employees/members. Members will receive a new ID number beginning with “67,” followed by their 11-digit ID. Members can continue using their previous ID number at the dentist, and to register for the member portal or Delta Dental mobile app. 
    • While the member ID number is changing, members will not receive new physical ID cards. They can continue to access, download and print digital ID cards through the member portal at deltadentalil.com or the Delta Dental mobile app, where they can also save an ID card to their digital wallet.
    • Changes to the look and format of Explanation of Benefits and other correspondence they may receive in the member portal or from Delta Dental of Illinois.
    • A potential for temporary delays to claims processing – because we are transitioning systems, there could be temporary claims processing delays. We will provide advanced notification with more information as we near the planned upgrade date.

  • What will not be changing?

    Following the technology upgrade on June 3, your online employer account will offer the same functionality you’re used to, just with a new look, enhanced functionality and better user experience. You’ll still be able to manage benefits, enroll and update employees, access and print ID cards, generate reports and view and download bills.

    ⁠Customer service and account management phone numbers, emails and addresses will also not change. You will still be able to reach your account management and customer service teams with the same contact information you and your employees/members have been using. Also, DeltaDentalIL.com will not change and you and your employees/members will still be able to find what you need and search for a provider on our website. Please note: this change will not impact how your employees login to the member portal and your employees will not need new member ID cards.

  • Will our data be secure?

    Yes, all security and privacy for your employees’/members’ information is always prioritized by Delta Dental of Illinois. This upgrade will allow us to continue to provide best-in-class service including an improved customer experience and enhanced data protection. Technology is changing quickly as are our customers’ needs. We continually seek technology tools and solutions that best serve our customers and meet market demands. We are confident this upgrade will do just that.

    Our planned technology upgrade will continue to offer more features to safeguard your information.  

  • Will there be downtime for any systems, the employer or member portal?

    To ensure data integrity as we upgrade our system, the employer portal is read-only beginning May 18 through June 2. You cannot register, make eligibility updates online or update your password. Once the new employer portal is live on June 3, group administrators can register and registered super users will again be able to make eligibility updates. Please note, active super user accounts are only being migrated as part of our system upgrade, and they will receive a username and temporary password once our new portal launches on June 3.

    The member portal will be read-only beginning May 19 through June 2. During this time, members can continue to view their claims and benefit information, but they cannot update their enrollment in the Enhanced Benefits Program or electronic Explanation of Benefits (EOB) until our new portal launches on June 3. The member portal will also be temporarily unavailable on May 30.

  • How can I get more information?

    You can expect to hear from us with regular updates. In the meantime, you can contact your account manager with any questions. You can also visit this webpage at any time for the most up-to-date information on this upgrade.

  • When can I register for the employer portal?

    During this transition, new use registrations are unavailable until June 3. Group administrators can register for our new employer portal on June 3.

  • How will the upgrade impact claims processing times?

    As a result of our system upgrade, claims received on or after May 9 will be temporarily held during this transition and will be released for processing once the new system is live on June 3. This temporary hold is necessary to ensure data integrity and a smooth system upgrade.

  • Where can I access the updated employer portal on June 3?

    After June 3, you will still be able to access the employer portal at deltadentalil.com.

  • If I am a super user, when will I get an email with a username and temporary password to access the new portal?

    Active employer portal super user accounts are only being migrated as part of our system upgrade, and those super users will receive an email with a username and temporary password by June 3, which must be changed within 7 days, to sign into our new portal. If you do not reset your password within 7 days, you will need to contact our enrollment team at 800-752-7971 so they can reset your password. To protect your group’s data and information security, after the system upgrade, the group's super user will need to set up any designated users for the account as no other user accounts will be transferred. 

    Please note: If you are a super user and have not logged in to the Delta Dental of Illinois Employer Portal since June 2025, your account will not be migrated. In that case, you’ll need to re‑register to access the new employer portal starting June 3. 

  • Will my weekly or monthly claims bills look different?

    Your bills from Delta Dental of Illinois will look a little different moving forward, but they’ll still include all the information you need. Your bill will also reflect your new account structure.
